Assetera’s Digital Documentation Handover Facility is our new service where we gather and collate important information associated with a building project, for issue to the building owner on completion of the works. Our service entails us communicating the specific information requirements with each of the project members including design consultants, main contractor, domestic contractors and nominated sub-contractors and agreeing definite timeframes for receipt of information. All documents are published to read only electronic format and made searchable before being uploaded to a customised software application that is used to store, navigate, view and search this documentation. The name of the software is the IFS Digital Project Manual™.
A staged draft review process takes place to ensure the client and others can review, comment, or request further information be included. IFS co-ordinate this draft review process, document outstanding information, minute the review meetings and follow up with all parties to received final documentation and close out any agreed actions. Once this review stage is complete the Client and the Project Manager formally approve and sign off the information.
Once signed off the information now contained in the IFS Digital Project Manual™ is formally presented and issued to the building owner or operator at (or closely after) the date of practical completion.
As part of the overall service IFS install the software on the clients IT network and provide training in the use of the application if this is required. The software can be delivered as a standalone application for a desktop/laptop however an online hosted solution is also available to clients where data is hosted externally in a secure data centre.
The building operator then has all necessary information available to them to allow them to manage the building and its systems safely from the beginning of its operational lifecycle. Users can keep the information updated on an ongoing basis using the software functionality. Working within a defined quality management framework allows Assetera/IFS to successfully complete and deliver on small to large scale projects for any type of building project. The service can be applied very effectively on projects that are being constructed or which have already been completed.
